In this article, we will look how Policy Owners can view Policy Updates from their parent/FPM, compare the content with their current policy, and examine previous policy versions.
There are a number of ways you can view a policy update:
1 - Email notification that is sent to the Policy Owner when there is a parent policy update
2 - Notification panel in the top-right menu
3 - Recent Updates menu item within the Policy Section
4 - Parent Policy Updated task on the Policy Information page
All of the above will take you to the Compare Screen seen below, which allows you to compare your content to the latest parent version:
Update your Policy to the latest version
Left Section- Will show you the changes that FPM or your Parent has made to the policy
Right Right - Is your current policy content
Update your Policy - This button in the top right will update your content to the latest version. If you click this button, you will be asked to confirm that you would like to go ahead and overwrite your content:
Manually update your policy content via the editor
If you do not wish to update the entire policy, you can simply copy content from the left and paste it into your policy content on the right.
Additions and Amendments are highlighted to make it easier for you to see what we have changed within our policy content.
Green highlighted text showcases Additions, and Red highlighted text shows removed text.
You have 2 options for this:
1 - Manually type and adjust the content in the right window
2 - Copy and paste the content from the left window into the right window
If you have not made many changes to this policy and you would simply like to update to the latest version please press the Update your Policy button and your policy content will be overwritten with the latest parent version.
Restore or Update your policy to the latest version
If you have published a policy and would like to revert or update to the newest version (FPM, or Parent Policy), navigate to the Policy Information page, and select Policy Versions:
You'll see a list of the previous versions of the policy.
You have two options.
1- Restore to a previous version, which will be labelled 1.0, 2.0, 3.0, and so on.
2 - Update to the latest version of the policy and overwrite your current policy, via the View Parent Policy Button.
Highlight the policy and press the Preview Policy Version (for option 1) or View Parent Policy (option 2) button on the right to preview the policy:
If you would like to restore your policy to this version, select Restore at the top:
Recent Updates
Within Policies is a Recent Updates menu item:
Recent updates provide a report for System Admins, Policy Admins, and Policy Owners containing policy updates from your parent (Either FPM or if you are part of a group such as a PCN).
Recent Updates will show you the Policy Title, Policy Owner, Inherited From, Last Reviewed at Parent Location and Review Type.
